A collaborative form is an online form that multiple people on your team can build, edit, and manage together from one shared workspace, each with their own role and level of access.

Who should use collaborative forms?

They’re ideal for teams, businesses, and remote workers who collect feedback, run surveys, or build forms together and need clear control over who can do what.

Can multiple people work on the same form?

Yes. You can invite your whole team to a form and assign each person a role, so everyone works from the same form instead of separate copies.

Can I control who can view or edit each form?

Yes. You set form-level permissions and choose who can view, edit, or manage each form. Access can be given to individual users or entire teams.

How does Formester keep my form data secure?

Formester uses role-based access control to protect your data. You decide who can reach sensitive information by assigning roles like Viewer, Editor, or Admin.

What happens when a team member leaves?

You can remove their access at any time, which immediately blocks them from all forms, responses, and data.

Will changing a user’s role affect existing work?

No. Updating someone’s role changes their access permissions without deleting or interrupting any ongoing work.

Does access work across multiple teams?

Yes. You can organize users into teams and manage permissions for each team separately, which makes collaboration easier for larger organizations.

Field-level permissions

In a delivery form, for example, the delivery person can only collect e-signatures — every other field stays locked to the rest of the team.

Invite members

In the Teams section, invite by email and set their role as Member — not Maintainer, who can edit the whole form.

Turn on Field Assignee

Select the field you want to restrict, open Advanced settings, and enable Field Assignee.

Choose Add Role, give it a name, then add members or a whole team. Only they can edit and fill out this field.

Publish & share

Repeat for any other restricted fields, then publish the form and share the link.
