What it is

An AI form workflow is a prompt that runs against every form submission you collect. The form does the data-gathering. The AI does the reading, summarizing, scoring, or routing on the structured output. It runs inside Formester, on the submission you already have, with the fields you already mapped.

What it is not

It is not a Make-style or Zapier-style platform that chains 12 apps together. It does one job well: AI on form data, automatically, every time someone submits. If you want general workflow automation across many apps, use Make, n8n, or Zapier and connect Formester to them. If you want the AI to read what someone just submitted and do something useful with it, this is the page you wanted.

Open Automate, create an AI workflow

In your Formester form's Automate tab, click "Create new workflow" and pick AI Workflow. Give it a name that describes the job ("Job Application Review," "NPS Feedback Summary," "RFP Scoring").

Pick the trigger

Choose "On form submission" for automatic runs (every new response triggers the workflow) or "Manual trigger" if you only want it to run when you click a button in the dashboard.

Write the prompt

Write a plain-English instruction. For example, "Read this job application and give me a 3-line summary plus a risk flag if any experience claim looks inflated." The AI sees the full submission's field-by-field data.

Choose where the output goes

Send the AI output to your dashboard, email, a custom field on the submission, or downstream to your CRM via the standard Formester integrations. Submit a test response, confirm the output, flip live.

Common questions

Is this the same thing as a Zapier AI workflow or a Make AI workflow?

No. Zapier and Make build multi-step chains across many apps. Formester's AI workflow does one job: it runs an AI prompt against every form submission you collect. If the job is summarizing, scoring, or classifying form data, Formester does it natively without a Zap in between. If the job is fanning the output out to 8 tools after that, you can still use Zapier or Make for the downstream step.

What models power the AI workflow?

Formester runs the prompt against a managed model on the back end. You write the prompt; the model handles the response. You do not bring your own API key today.

How fast does the AI output show up after a submission?

Sub-second for short prompts, up to a few seconds for prompts that read large file uploads (resumes, multi-page PDFs). The submission lands in your dashboard while the workflow runs; the AI output attaches to the submission when it completes.

Where does the AI output go?

To your form's dashboard, to a custom field on the submission record, to your email notifications, or onward to your CRM via the standard Formester integrations (HubSpot, Salesforce, GoHighLevel, monday.com, Google Sheets). Set the destination once when you build the workflow.

Can I run the AI workflow on submissions I have already collected?
