Open Automate, create an AI workflow
In your Formester form's Automate tab, click "Create new workflow" and pick AI Workflow. Give it a name that describes the job ("Job Application Review," "NPS Feedback Summary," "RFP Scoring").
Drop a prompt into Formester's AI Workflow. Every new submission gets read, summarized, scored, or classified the moment it lands. Hiring, feedback, support, RFPs, intake, the AI does the first pass so the human starts from a clean summary.
A short definition for the searcher who landed here expecting Zapier.
An AI form workflow is a prompt that runs against every form submission you collect. The form does the data-gathering. The AI does the reading, summarizing, scoring, or routing on the structured output. It runs inside Formester, on the submission you already have, with the fields you already mapped.
It is not a Make-style or Zapier-style platform that chains 12 apps together. It does one job well: AI on form data, automatically, every time someone submits. If you want general workflow automation across many apps, use Make, n8n, or Zapier and connect Formester to them. If you want the AI to read what someone just submitted and do something useful with it, this is the page you wanted.
No code, no JSON, no third-party tool. Set up once. Run on every submission after that.
In your Formester form's Automate tab, click "Create new workflow" and pick AI Workflow. Give it a name that describes the job ("Job Application Review," "NPS Feedback Summary," "RFP Scoring").
Choose "On form submission" for automatic runs (every new response triggers the workflow) or "Manual trigger" if you only want it to run when you click a button in the dashboard.
Write a plain-English instruction. For example, "Read this job application and give me a 3-line summary plus a risk flag if any experience claim looks inflated." The AI sees the full submission's field-by-field data.
Send the AI output to your dashboard, email, a custom field on the submission, or downstream to your CRM via the standard Formester integrations. Submit a test response, confirm the output, flip live.
Six concrete jobs where the AI does the first pass and a human reviews the summary.
New contact form submits → workflow reads the company size, budget, and timeline fields → outputs a 1-to-10 score plus a one-line "why" → score lands in a custom field that sorts your lead list. Marketing-qualified leads surface in the top of the list automatically.
Job application form with resume upload → workflow reads the resume PDF plus the screening-question answers → outputs a 3-line candidate summary plus a fit score against the role spec you saved in the prompt → recruiter reviews from a sorted list instead of reading every resume top-to-bottom.
NPS or customer-feedback form with a long-form "tell us more" field → workflow reads every submission and outputs a one-paragraph summary tagged by sentiment, plus the top 3 themes across the week. CSAT review stops being a 4-hour read on Monday morning.
Help form submits → workflow reads the issue description → outputs a category (billing, bug, feature, account), a severity (P1 / P2 / P3), and a suggested first reply. Support manager routes the queue from one summary view.
Vendor RFP intake form with 30 fields → workflow scores the submission against your scoring rubric (price weight, compliance weight, capability weight) → outputs a final score and a 5-line procurement memo. Procurement team starts from the memo, not the raw submission.
Legal, healthcare, or consulting intake forms → workflow classifies the submission by case type, urgency, and routing destination → output sets the right pipeline stage in your CRM and tags the right specialist automatically.
The same 4-field setup, eight different jobs. Each workflow lives in your form's Automate tab with the trigger, source, prompt, and output already wired up.
Eight starter prompts. Replace the role spec or rubric in brackets with yours.
Read this submission's resume and 'Why are you a fit' answer. Compare against this role spec: [paste role spec]. Output a 3-line summary, a 1-to-10 fit score, and a single risk flag.
Score this submission as a B2B lead from 1 to 10. Use company size, budget range, current tool, and timeline. Output the score and a one-line reason. If the email is a personal address (gmail, yahoo, outlook.com), cap the score at 5.
Summarize this NPS feedback in one sentence. Tag the sentiment as positive, neutral, or negative. Identify the single most common theme if mentioned: pricing, UX, support, performance, missing feature.
Classify this support submission. Output one category (billing, bug, feature request, account, other), one severity (P1, P2, P3, P4), and a one-paragraph suggested first reply addressing the user directly.
Score this RFP submission using this rubric: [paste rubric]. Output the final weighted score, each sub-score, and a 5-line memo for procurement.
Read this intake submission. Output the right pipeline stage (Discovery, Qualified, Proposal, Disqualified), the right specialist (sales, partnerships, support, finance), and a one-line context for the assigned person.
Read this survey response. Pull out any specific feature, product name, or competitor mention. Output a JSON object with keys 'features', 'products', 'competitors'. Empty arrays if none.
Read this form submission. Flag if any field contains PII the form did not ask for (SSN, full credit card, passport number, government ID number). Output 'clean' or list the flagged fields and the snippet.
The honest version. Pick whichever fits the job.
| Capability | Formester AI Workflow | Zapier / Make AI step |
|---|---|---|
| AI on form submissions | Yes, native, no glue | Yes, but needs a Zap to fire and Formester to pass data |
| Multi-app chains across 5+ tools | No, by design | Yes, that is the whole job |
| Cost per submission | $0 above your Formester plan | Per-task fees, mounts up at volume |
| Setup time | One screen, one prompt | Build a Zap or scenario, map fields |
| Latency from submit to AI output | Sub-second | 30 seconds to 15 minutes depending on plan |
| Prompt context | Full submission, every field | Map each field manually |
| Maintenance | Update the prompt | Update the Zap when monday.com or your CRM changes anything |
Takeaway: If the job is AI on the submission you just collected, do it inside Formester. If the job is "fire 8 different actions across 8 different tools," Zapier or Make is the right tool. Both can coexist: Formester runs the AI workflow on the submission, Zapier fans the result out to wherever it needs to go.

Formester offers a ton of features and my developer loves using it to integrate to various marketing pages. It's quick and easy to create using drag and drop. It allowed me to remove branding unlike Typeform that has branding even in paid plans. Their support is top notch.
Formester brings together some amazing technology all in one easy to use tool. The AI form builder makes things a breeze to set up and completed 75% of my build and then another 25% tweaking. Combined with the AI agent workflow automation after forms are submitted, it's one amazing package.
Beautiful and easy to use. The templates and the floating button feature with easy-to-use integration with Google Sheet is crazy. I was looking for a simple and beautiful form to put on my website for free.

No. Zapier and Make build multi-step chains across many apps. Formester's AI workflow does one job: it runs an AI prompt against every form submission you collect. If the job is summarizing, scoring, or classifying form data, Formester does it natively without a Zap in between. If the job is fanning the output out to 8 tools after that, you can still use Zapier or Make for the downstream step.
Formester runs the prompt against a managed model on the back end. You write the prompt; the model handles the response. You do not bring your own API key today.
Sub-second for short prompts, up to a few seconds for prompts that read large file uploads (resumes, multi-page PDFs). The submission lands in your dashboard while the workflow runs; the AI output attaches to the submission when it completes.
To your form's dashboard, to a custom field on the submission record, to your email notifications, or onward to your CRM via the standard Formester integrations (HubSpot, Salesforce, GoHighLevel, monday.com, Google Sheets). Set the destination once when you build the workflow.
Yes. Use the Manual trigger. Pick the submission (or a date range) in the dashboard and run the workflow on the existing data. Useful for back-filling a new scoring rubric across last quarter's leads.
Yes. The AI workflow is included in Formester's standard plan tiers; usage is metered against your plan's AI quota. Start free, run a prompt on one form, see if the output is useful before scaling.
Pick a form, pick a prompt, ship in three clicks. The AI starts working on the next response that lands. No Zapier, no glue code.
A few clicks. No per-task fees. No middleware to maintain.
