Is an electronic signature on this form legally binding?
Yes, in most jurisdictions. In the US, the ESIGN Act and the Uniform Electronic Transactions Act (UETA) give electronic signatures the same legal weight as handwritten ones for employment agreements. In the EU, eIDAS covers it. Formester captures the typed or drawn signature, timestamp, and IP address with every submission, which is the metadata an audit will ask for.
What should an employee laptop or equipment agreement include?
Eight pieces at minimum: employee name and role, device model and serial number, accessories list, condition at handover, expected return date, acceptable-use clauses, lost-or-stolen reporting protocol, and a signature with a timestamp.
What happens when the employee leaves and does not return the laptop?
The signed agreement is the document HR and IT escalate from. Most companies hold the final paycheck or deduct the depreciated value per the agreement's return clause. Specifics depend on state and country law; check with employment counsel before adding a payroll deduction clause.
How do we handle a lost or stolen laptop?

Does this template cover BYOD (employee-owned) devices?
Partially. If the company supplies any equipment alongside a personal laptop (monitor, dock, phone, hotspot), use this form for the supplied items and a separate BYOD policy for the personal device. Pair this with the policy compliance acknowledgment form for BYOD sign-off.
Can one form cover laptop, phone, and monitor in a single agreement?
Yes. Duplicate the device-details section in the editor and rename each block (Laptop, Phone, Monitor). Conditional logic can hide blocks that do not apply to a given employee, so one form stays clean for every variant.
Is the same agreement valid in the UK, EU, Canada, and Australia?
The structure is. The legal language is not. The clauses around data protection, payroll deduction, and disciplinary action are jurisdiction-specific. Paste your local handbook language into the acceptable-use block before issuing it; do not run the template's default clauses past employment counsel without a country check.
Where should we store the signed agreement?
